Delegate the routine to AI: How to safely work with AI assistants and agents
Artificial intelligence has long become part of our daily workflow. It analyzes hundreds of pages of documents, tests software code, manages databases, and organizes travel. It takes over routine tasks and frees up time for what matters. But to ensure these tools deliver value while keeping your data secure, you need to understand the rules.
Together with experts, we developed a clear and practical guide to the responsible use of AI systems. It is designed for anyone integrating AI into their work or business, from basic chatbots to fully autonomous systems.
What’s inside? We explain the difference between an AI assistant and an AI agent.
The core focus of the guide is how AI is becoming more autonomous:
-
AI assistants perform only the tasks you explicitly request — they respond to prompts and help with specific actions.
-
AI agents operate autonomously. They can receive tasks independently, analyze code, detect errors, and optimize workflows without constant human input.
How to avoid risks
The greater the autonomy of an AI system, the more caution is required. The guide explains in plain language how to avoid AI “hallucinations” (when the system confidently generates false information), prevent the exposure of sensitive data through improper prompts, and protect systems from breaches. It also includes a step-by-step implementation framework with 11 stages for integrating AI into your workflows.
Five rules for working with AI:
-
Human oversight is essential. AI can operate independently, but responsibility for the final outcome always rests with a human.
-
Trust, but verify. Always review and critically assess AI-generated outputs.
-
Least-privilege access. Provide only the data strictly necessary for a specific task.
-
Start small. Begin by delegating simple tasks, then gradually increase complexity.
-
Maintain a “kill switch.” When working with autonomous agents, ensure you have an immediate shutdown mechanism in place.
We are already applying these approaches in practice. A national AI assistant has been launched on the Diia portal. It not only provides guidance but also helps users access public services directly within a chat interface (and will soon be available in the mobile app).
